    Why Digital Office Phone Systems Are More Effective Than Analog Lines

    Configuring a good office phone system can cost a great amount of money. Despite communication being one of the most important factors to running a good business, companies still try to avoid spending too much on their phone bill each month. With many office staff requiring instant access to a phone line at all times, and the need for an accessible in-bound line, costs can soon mount up. Each analog phone line will cost a little more to install and run each month, especially when a company hires new staff. This could end up running costs into the thousands of dollars.

    Those who switch to virtual phones soon notice an improvement in quality and costs. Although most office phone systems charge per line, this works out as much cheaper than landlines and still only requires one broadband connection. The line can still accept calls when a user is on the phone, showing as a 'call waiting', or can be transferred automatically as per the settings of the system. Anyone wishing to dial a number or answer inbound traffic can do so with others still using the system. Other individuals can even be included in the call as a conference call, which is a good tool for multi-national companies, or just those organizing a group discussion.

    There was a point when each office would have a designated switchboard to transfer calls, or take messages when the line was busy. This necessitated competent employees, and was at risk of all sorts of errors such as incorrectly transcribed messages and dropped calls. A digitalized office phone system automates the process to record all call data, which is protected even when there is a power loss in the office. Settings can even be corrected remotely, meaning that a sudden change in forwarding requirements can be catered for. The need for a receptionist is no longer there because of the capabilities of the software.

    There is obviously a large amount of money saved through converting to a digital phone arrangement. VoIP providers offer cheap packages for office phone systems, ensuring a generally cheaper structure. Each line might save up to half on the normal phone line costs each month. This is helped by inclusive call deals, cheaper and inclusive equipment and less required manpower in the office.

    The benefits stretch even wider than this. With old cable lines, quality could often deteriorate easily, and callers often got a 'bad line'. Storms and external conditions meant that phone lines fell down and compromised service in the area. Thieves would seek out the precious copper cables to sell for scrap, vandalizing phone lines along the way. Virtual calling means less downtime and better clarity during calls, as it uses internet connection which is less liable to damage. This is just a sample of benefits gained by transferring to an internet phone service.
